Use every plan correctly, safely, and consistently.

Start with the shared procedures, then follow only the section for your church’s active plan. Higher plans include the procedures of the plans below them unless a section states otherwise.

Activate and set up the church workspace

  2. 2Confirm the church name, approved web address, subscription plan, and subscription status.
  3. 3Upload the church logo and complete About, contact details, address, colors, and landing-page images.
  4. 4Add the authorized administrators allowed by the plan and assign their correct roles.
  5. 5Review the workspace in both Admin View and Member View before inviting people.

Register and approve a member

  1. 1The person opens the church registration page and submits their name, birthday, address, contact details, and profile picture.
  2. 2Treat the submission as an application only; registration does not automatically grant membership.
  3. 3An authorized admin checks the person, church or chapter, contact information, and picture.
  4. 4Approve a valid application or deny it with an internal reason when it cannot be accepted.
  5. 5After approval, confirm the member appears only in the correct church and chapter directory.

Administrators may reset access, but they must never view or ask for a member’s password.

Create and manage a ministry

  1. 1Create the ministry with a clear name and purpose.
  2. 2Choose the ministry head and assistant from approved members only.
  3. 3Allow the head or assistant to add, transfer, or remove ministry members.
  4. 4Check that each person belongs to no more than two ministries.
  5. 5Review assignments after leadership or chapter changes.

Publish an announcement or event

  1. 1Write a clear title, full details, audience, chapter, date, and reminder information.
  2. 2Preview the post and confirm that private information is not included.
  3. 3Publish it to the dedicated Announcements or Events page; it will also appear in Community.
  4. 4For events, members may answer Going, Maybe, or Not Going for planning only.
  5. 5After the due date or event completion, confirm the item moves to the archive.

An RSVP is a tentative head count. Only actual check-in counts as attendance.

Run the Sunday attendance register

Maintain the 100-person allowance

Up to three chapters with email, flexible events, visitor tracing, and core finance.

Set up as many as three chapters

  4. 4Confirm the pastor’s email and phone come from the member profile rather than a duplicate record.
  5. 5Do not create more than three active chapters or three Chapter Admin assignments.

Schedule services and events

  2. 2Use recurrence for regular schedules and a one-time date for special events.
  3. 3Publish the event so members can submit their tentative RSVP.

  5. 5Keep RSVP totals separate from final attendance totals.

Trace and follow up visitors

Record basic church finance

Configure email delivery

  3. 3Send a test message and confirm the provider shows connected.
  4. 4Use email for announcements, events, birthday greetings, and enabled reports.

Use Bible and genealogy

Apply the three-visit pastoral workflow

Set up the organization and mother chapter

Security SOP

  1. 1Use a unique personal account; never share an administrator login.

  3. 3Never store readable passwords or send passwords through email, SMS, or Community.
  4. 4Review administrator, pastor, staff, and ministry-leader access after every personnel change.
  5. 5Keep member, visitor, finance, counseling, and document information inside the authorized church tenant.
  6. 6Before deleting or correcting important records, confirm the target church and preserve the audit history.
  7. 7Report suspicious access, wrong-church data, or an exposed credential immediately and suspend affected access.

Before you finish

  • Confirm the action was saved and appears in the correct church and chapter.
  • Check dates, totals, recipient lists, and plan limits before publishing or sending.
  • Use archive for expired announcements and completed events instead of leaving them active.
  • Correct the original member profile when shared contact details are wrong.
  • Record reasons for approval, denial, reopening, recommendation changes, and sensitive administrative actions.
